The project
Hesebeck Dental in Elmshorn is the first practice running on our dental platform. From the outside it is a practice website with treatment pages, guides and contact details. Behind it sits the platform we built for dental practices: appointment scheduling, patient communication and content management in one application.
Scheduling
The calendar is the core of it, and it does more than show free times.
- Booking around the clock: free slots are visible in real time. While a booking is in progress the system holds the slot so nobody takes it in parallel; if the hold expires it is released automatically.
- Rescheduling and cancelling: both work through a link, with no phone call and no account.
- Waiting list: when a slot frees up, people on the list get a time-limited offer. If nobody responds, the next person is up. Short-notice cancellations no longer sit in the calendar as dead time.
- Reminders: a message goes out automatically before the appointment, by email or SMS. It is the simplest measure against no-shows.
- Treatment types instead of time blocks: every treatment type carries its duration, practitioner and room. The practice is not handing out abstract half hours but what actually has to fit together.
What the practice controls
Everything that touches daily practice life sits in the back office, not with us.
- How much goes online: contingents define what share of the calendar is open to online booking. The rest stays for the phone and for emergencies.
- Absences: holidays, closures, breaks and deviations from the regular schedule are maintained and take effect on bookable times immediately.
- Recall: from stored rules the system generates check-up reminders and sends them. What usually hangs on an index card runs automatically here.
- Reviews: a review request goes out after treatment, and existing Google reviews are pulled in and shown on the site.
- Daily digest: the practice receives a summary by email without having to open the back office.
- Content: treatment pages, guides, glossary, FAQ and staff profiles are maintained by the team itself, with no detour via an agency.
Patient portal
The platform comes with a portal where patients find their paperwork in one place: documents, treatment and cost plans, invoices including instalment agreements, bonus booklet entries and a secure message function to the practice. Signing in works through a one-time code by email.
Data protection
Health data is specially protected, and that was a requirement from day one. Patient data is encrypted in the database, not merely in transit. GDPR access and deletion requests are a built-in function rather than a manual exercise. Because signing in works without a password, there are no credentials to lose or reuse. Consents are documented.
Accessibility
The site is built for accessibility and has a dedicated section for anxious patients. Those belong together: for both groups the phone call is the highest hurdle, and online booking is exactly what removes it.
Why a platform rather than a one-off
Dental practices need much the same things: appointments, treatment overview, emergency service, data protection, local visibility. Instead of rebuilding that for every practice, we developed a base that is set up and styled per practice. Hesebeck is the first installation and benefits from improvements arriving there without a new project being set up.
Outcome
The practice is reachable under its own address, appointments come in without the phone, reminders and recall run by themselves, and the team changes content itself. What looks like a website is, for the practice, mainly a tool for day-to-day work.
